Characteristics of Position:

The Grant Specialist is a professional positionresponsible for assisting in the development of proposals and applications forfunding, reviewing accountability requirements of grants awarded, and providingtraining and technical assistance to administrative and affected programpersonnel related to grant requirements. The position is also responsiblefor assisting in the design and implementation of quality improvement systemsfor monitoring performance and ensuring grant compliance. This is a full time position located at ACTSAdministration offices in Tampa, Florida.

Pre-requisite Requirements:

  • Bachelor'sdegree in marketing, communications, English, journalism or related field andthree years of related experience.

  • Experiencedeveloping grants or contracts including identifying goals and timetables anddetermining program needs and funding; monitoring and evaluating grant orcontract activities and expenditures' interpreting laws, regulations andpolicies and advising on their requirements; evaluating statistical andfinancial information and developing reports of findings.

  • Experienceevaluating bids or responses to Requests for Proposals or Invitation for Bidsfor contract services or strong knowledge of techniques used in negotiatingcontract terms and ?best and final offers?.

  • Understandand apply obligations of contracts through an accountable tracking system ofactivities and briefing meetings.

  • Excellentverbal and written communications skills, timely response and feedback.

Scope of Responsibilities: Responsibilities for preparing and/or reviewinggrant applications or contracts for compliance with state and federalrequirements and feasibility and legality of program design andcost-effectiveness. Provides technical assistance in program design, programperformance, grant or contract development and negotiation, corrective actionsfor compliance and development of proposals, operating plans and procedures.

Supervision: Work is performed under the direction of theCounsel for Strategic Development. This position does not provide supervisionto others.

Core Responsibilities/Essential Functions:

The GrantWriter is responsible for the full range of activities required to prepare,submit, and manage grant proposals; this includes the tracking and monitoringof assigned proposals and for researching new funding opportunities, withemphasis on deadlines, program and financial requirements, and required writtenreports. In conjunction with these duties the Grant Writer assists withmonitoring of program outcomes, particularly as they relate to objectivesdescribed in awarded funding. In addition, the Grant Writer provides support,as needed, for composition and editing of the agency's internal and externalwritten materials.

The GrantWriter's key areas of responsibility include (1) Private and public fundingresearch; (2) Proposal and fundraising document preparation; (3) Private andpublic proposal administration; (4) Grant report preparation; and (5) Specialprojects.

Privateand Public Funding Research

  • Identifiesfunding needs in collaboration with Counsel of Strategic Development with inputfrom agency subject matter experts, as needed

  • Researchesand identifies potential local, state, and federal grant opportunities matchingagency mission, needs, goals, and strategic planning objectives; researches andidentifies foundations and corporations for the same

  • Researchestrends in homelessness (esp. Housing First Model), housing services, and socialservices

  • Developsand maintains a private and public funding opportunities calendar for each yearbased on research and past funding history; ensures deadlines for renewals andreports are reflected

Proposaland Fundraising Document Preparation

  • Coordinatesthe grant proposal development process with program, executive, and financestaff

  • Workswith Counsel for Strategic Development to develop programmatic objectives forfunding proposals

  • Preparesand maintains accurate and current boilerplate content to leverage forproposals

  • Writes,edits, and submits grant proposals and reports for private foundations andcorporations, as well as public entities by specified deadlines in support ofexisting and planned program initiatives/activities and with respect to bothunrestricted operating revenues and restricted projects

  • Assistsin generating required financial information, including budgets and financialreports for

Privateand Public Proposal Administration

  • Monitorsresults of written requests, such as funding award rate

  • Coordinatesthe efforts of the Counsel of Strategic Development to ensure that documentsare completed by the specified deadlines

  • Maintainsaccurate electronic and hard copy records of prospective and current privateand public funders, including but not limited to: correspondence, proposals,reports and notes on significant phone conversations or site visits

GrantReport Preparation

  • Gathersand analyzes program results and progress toward specific identified objectivesin awarded grants

  • Collectsquantitative, qualitative, and anecdotal information on outcomes, programactivities, client success stories and other relevant information for use ingrant reports

SpecialProjects

  • RepresentsACTS at pre-proposal workshops (as directed by funders) and at relevantcommunity meetings

  • Interfaceswith staff, board members, and grant funders and prospects in person and on thephone

  • Adheresto policies and procedures of the organization

  • Otherduties and responsibilities may be assigned.
