Job Description

ESSENTIAL JOB FUNCTIONS

  • Reviews all invoices for appropriate documentation and approval prior to payment.
  • Enter, scan and file all invoices and reports into document management software.
  • Proficient typing skills.
  • Basic literacy and numeracy skills.
  • Good communication skills, both written and verbal.
  • Prepare and process weekly check run.
  • Match invoices to applicable checks.
  • Prints and obtains signatures on all accounts payable checks.
  • Distributes signed checks as required.
  • Answers all vendor inquiries.
  • Maintains all accounts payable reports, spreadsheets and corporate accounts payable files.
  • Record all processed checks into checkbook(s).
  • Assists corporate financial officers and associate personnel, including Reception as necessary.
  • Prepares cleared checks for storage.
  • Prepare and conduct daily bank runs.
  • Assists in monthly closings.
  • Prepares analysis of accounts, as required.
  • Performs filing and copying.
  • Performs other related duties as required and assigned.

 

ADDITIONAL JOB DUTIES

 

  • Escheat unclaimed checks to the state.
  • Maintain current and correct vendor W-9’s
  • Process 1099’s
  • Sort and distribute incoming mail when assisting in Reception

 

Knowledge of:

  • Safety rules, policies and procedures, infection prevention and control procedures.
  • Facility emergency/disaster response and evacuation procedures.
  • Resident Rights and identifying abuse and/or neglect.
  • Prior principal and practices of accounts payable.

Skill in:

  • Use and care of office equipment.
  • Working independently to complete daily activities according to work schedule.
  • Following and maintaining safety standards.
  • Following and effectively communicating verbal and written instructions.
  • Operating a computer utilizing a variety of commonly used and specialized software applications.
  • Prioritizing tasks and time management.
  • Organization.

Ability to:

  • Establish and maintain effective working relationships with associate personnel, residents and resident family members.
  • Understand and follow, quickly and accurately, oral and written instructions.
  • Maintain confidentiality and work under pressure in a dynamic environment with changing demands and priorities.
  • Comply with Creative Care policies and procedures.
  • Solve problems, identify and resolve problems in a timely manner and gather and analyze information skillfully.
  • Maintaining confidentiality, remain open to others’ ideas, and exhibit a willingness to try new things.
  • Edit work for spelling and grammar, present numerical data effectively, read, and interpret written information.
  • Prioritize and plan work activities.
  • Use time efficiently and develop realistic action plans.
  • Demonstrating accuracy, thoroughness and monitor own work to ensure quality.
  • Adapt to changes in the work environment, manage competing demands and deal with frequent change, delays or unexpected events.
  • Operate vehicle in a safe and economical manner.
  • Abide by traffic rules and sound traffic practices.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • While performing the duties of this job, the employee is regularly required to talk or hear. 
  • The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
  • The employee is occasionally required to sit, climb, balance, stoop, kneel, crouch or crawl.
  • The employee must frequently lift and move up to 10 pounds and occasionally lift and move objects up to 25 pounds. 
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Visual acuity to determine the accuracy, thoroughness and quality of work assigned.

REQUIRED MINIMUM EDUCATION, EXPERIENCE AND TRAINING

  • High school diploma or its equivalent.
  • Clerical experience in healthcare industry preferred.
  • Basic computer knowledge.
  • Proficient in typing.
  • Internet experience.
  • Telephone and customer service experience.
  • Obtain / maintain appropriate Arizona Driver’s license.

 

SPECIAL JOB REQUIREMENT(S)

  • Complete annual Tuberculosis Testing.
  • Obtain/maintain Arizona Department of Public Safety Fingerprint Card at employee’s expense.
  • Provide driving record from Arizona Department of Motor Vehicles at employee’s expense.

All employees of the facility are subject to immediate callout when an emergency or disaster occurs.  All employees are considered to be available for these types of events and will immediately respond, in accordance with the facility’s Emergency Operation Plan, when directed by the Administrator, or when directed by their department director and/or immediate supervisor.  Such call to respond and assist may involve those activities assigned to their regular job responsibilities and incorporate other non-job related duties as necessary and required of an employee to respond to the emergent matter at hand.  An employee’s response to these matters may require the working of unusual, long hours over a possibility of an extended period of time with infrequent breaks or rest periods.  An employee who is working with an accommodation must meet with their supervisor and department director to discuss their requirement for response.
